Terms of Service

1. Introduction

These Terms of Service ("Terms") govern your access to and use of SnapIntel ("Service"), operated by IE Roman Jarmukhametov, Republic of Kazakhstan ("we", "us", "our"). By creating an account — including by checking the acceptance checkbox during registration — or by continuing to use the Service after being presented with these Terms, you agree to be bound by them.

If you do not agree to these Terms, do not create an account or use the Service.


2. Description of the Service

SnapIntel is a web-based AI translation workflow product. It allows users to:

  • Import Smartcat bilingual DOCX files for AI-assisted translation;
  • Prepare translation context through domain analysis, glossary, and prompt controls;
  • Run translation jobs using OpenAI's language models;
  • Download translated documents and quality assurance artifacts.

The Service is provided as-is for professional and commercial use by translation agencies, freelance translators, and corporate translation departments.


3. Accounts and Registration

3.1 You must create an account to use the Service. You may register via email/password or Google Sign-In.

3.2 You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.

3.3 You must provide accurate and complete information when registering. You must promptly update your information if it changes.

3.4 You must be at least 18 years old to use the Service.

3.5 One person may not maintain more than one account. We reserve the right to terminate duplicate accounts.


4. Plans, Payments, and Quotas

4.1 Free plan: Available at no cost subject to monthly word limits as defined on the pricing page.

4.2 Paid plans (Pro, Agency): Billed monthly in USD. Prices are listed on the pricing page and may be updated with 30 days' notice to existing subscribers.

4.3 Payment processing: Payments for paid plans are processed by Paddle (Paddle.com Market Limited, a company registered in England and Wales), which acts as the Merchant of Record for all transactions. When you subscribe to a paid plan, you are purchasing from Paddle, subject to Paddle's Terms of Use and Privacy Policy. We are the service provider. Paddle handles payment collection, invoicing, subscription management, and applicable tax remittance on our behalf.

4.4 Quota enforcement: Word limits are enforced server-side. Translation jobs that would exceed your quota will be blocked at the time of starting the job.

4.5 Refunds: As Paddle acts as the Merchant of Record for all transactions, refunds are handled in accordance with Paddle's refund policy. Refund requests may be directed to hello@snapintel.io or submitted directly through Paddle's billing support.

4.6 Plan changes: You may upgrade or downgrade your plan at any time through the account settings or via Paddle's subscription management portal. Changes take effect at the start of the next billing cycle unless otherwise stated.

4.7 Suspension for non-payment: We reserve the right to suspend access to paid features if payment fails and is not resolved within 7 days. Paddle will attempt to retry failed payments in accordance with its retry policy.


5. BYOK (Bring Your Own Key) — Agency Plan

5.1 The Agency plan requires you to provide your own OpenAI API key ("BYOK").

5.2 Your API key is stored in encrypted form. We do not use your API key for any purpose other than processing your translation jobs.

5.3 You are solely responsible for the costs incurred on your OpenAI account as a result of translation jobs run through the Service.

5.4 We are not responsible for any charges, rate limiting, or policy changes imposed by OpenAI on your account.

5.5 You must not provide API keys that belong to a third party without that party's explicit authorization.

5.6 If you downgrade from the Agency plan to a lower tier, your stored API key will be permanently deleted from our systems within 24 hours of the plan change taking effect.


6. Your Content

6.1 You retain all ownership rights to the documents you upload and the translation outputs generated from them.

6.2 By uploading content to the Service, you grant us a limited, non-exclusive, royalty-free license to process and store that content solely for the purpose of providing the Service to you.

6.3 Document processing via OpenAI: Translation jobs process your document content through OpenAI's API. By using the Service, you acknowledge that your document content will be transmitted to OpenAI for processing. Please review OpenAI's usage policies at openai.com/policies before uploading sensitive or confidential content.

6.4 You are responsible for ensuring you have the right to upload any content you submit to the Service.

6.5 You must not upload content that: (a) infringes third-party intellectual property rights; (b) contains personal data of third parties without appropriate legal basis; (c) is illegal, defamatory, or harmful.


7. Data Storage and Deletion

7.1 Uploaded documents and generated outputs are stored on our servers located in the European Union.

7.2 You may delete your projects at any time from within the Service. Deletion removes your files and associated project data.

7.3 We may retain certain account-level data (email, usage statistics) for legal and operational purposes after project deletion.

7.4 Upon account termination, we will delete or anonymize your personal data within 30 days, except where retention is required by law.


8. Acceptable Use

You agree not to:

8.1 Use the Service to translate, process, or distribute content that is illegal under applicable law;

8.2 Attempt to reverse-engineer, decompile, or extract the source code of the Service;

8.3 Use automated scripts or bots to interact with the Service beyond the documented API;

8.4 Resell or sublicense access to the Service to third parties;

8.5 Attempt to circumvent quota enforcement or billing systems;

8.6 Upload malware, exploit code, or any content intended to harm the Service or its users.


9. Disclaimer of Warranties

9.1 THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED.

9.2 AI translation quality: Translation outputs are generated by AI models and may contain errors, omissions, or inaccuracies. The Service does not guarantee that translations meet any particular standard of accuracy, completeness, or fitness for a specific purpose. You are solely responsible for reviewing, verifying, and approving all translation outputs before use.

9.3 We do not warrant that the Service will be uninterrupted, error-free, or free of harmful components.


10. Limitation of Liability

10.1 To the maximum extent permitted by applicable law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.

10.2 Our total liability to you for any claim arising from use of the Service shall not exceed the amount you paid us in the 3 months preceding the claim.

10.3 Nothing in these Terms limits liability for fraud, gross negligence, or liability that cannot be excluded by law.


11. Termination

11.1 You may terminate your account at any time by contacting us or using the account deletion option in settings.

11.2 We may suspend or terminate your account if you violate these Terms, or for serious operational or legal reasons (including, but not limited to, security incidents, legal requirements, or cessation of the Service) with reasonable notice where practicable.

11.3 Upon termination, your right to use the Service ceases immediately. Sections 6, 9, 10, and 13 survive termination.


12. Changes to Terms

We may update these Terms from time to time. We will notify you of material changes via email or an in-app notice at least 14 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.


12a. Security Incidents

In the event of a data breach or security incident affecting your personal data, we will notify affected users without undue delay in accordance with our obligations under applicable law. For detailed information on how we handle personal data and security incidents, please refer to our Privacy Policy at snapintel.io/privacy.


13. Governing Law and Dispute Resolution

13.1 These Terms are governed by the laws of the Republic of Kazakhstan.

13.2 Any dispute arising from or relating to these Terms shall first be subject to good-faith negotiation. If not resolved within 30 days, disputes shall be submitted to the competent courts of the Republic of Kazakhstan.

13.3 If you are located in the European Union, you may also have rights under EU consumer protection law. Nothing in these Terms limits those rights.

13.4 EU Online Dispute Resolution: The European Commission provides an online dispute resolution (ODR) platform for consumers at https://ec.europa.eu/consumers/odr. Our contact email for ODR purposes is hello@snapintel.io.
